Payroll Coordinator

Location: Downtown Columbus, OH - Onsite
Pay: $22–$25 per hour

Role Overview

The Payroll Coordinator will manage daily timekeeping exception reports in Excel, investigate discrepancies, and ensure accurate payroll processing across 3–4 regions. This role requires strong attention to detail, confident communication with managers (primarily via email), and the ability to navigate multiple spreadsheet tabs and data sources quickly.

What You’ll Do

  • Process Daily Exception Reports (Excel):

    • Open and review a daily Excel exception report and navigate multiple tabs to trace issues.

    • Identify and resolve flags such as clock outs after 1:00 AM, missing punches, or AM/PM entry errors.

    • Determine if flagged punches are legitimate (scheduled late shifts) or due to input mistakes (e.g., “AM” instead of “PM”).

    • Document findings and actions in the spreadsheet’s comment section to maintain clear audit trails.

  • Timekeeping Validation & Research:

    • Cross-check employee work schedules to confirm whether late clock outs align to scheduled shifts.

    • Review manager adjustments for accuracy; follow up when AM/PM selection appears incorrect.

    • Clear exceptions by correcting entries within policy, escalating issues as needed.

  • Stakeholder Communication (Mostly Email):

    • Follow up with managers to confirm scheduled shift details and request corrections or approvals.

    • Provide concise, professional summaries of exceptions, resolutions, and outstanding items.

    • Track responses and close the loop on each flagged item.

  • Regional Support & SLA Management:

    • Work across 3–4 regions, each with unique schedules, timekeeping patterns, and manager contacts.

    • Meet daily/weekly SLAs for exception clearance, documentation completeness, and timely escalations.

Key Outcomes (Success Metrics)

  • Daily exception report cleared by established SLA (e.g., by 12:00 PM ET).

  • 100% documentation in spreadsheet comments for resolved items.

  • Reduction in repeat exceptions (e.g., AM/PM errors) through manager reminders and quick follow-up.

  • On-time payroll readiness with minimal outstanding flags.

Qualifications

  • Experience: 1–3 years in payroll coordination, timekeeping, or HR/Operations support (contract experience a plus).

  • Technical:

    • Excel proficiency (filters, VLOOKUP/XLOOKUP basics, conditional formatting, navigating multiple tabs).

    • Familiarity with common timekeeping systems (e.g., UKG/UltiPro, Kronos/UKG Dimensions, ADP, Workday)—client-specific tools training provided.

  • Communication: Strong written communication for professional email exchanges with managers; clear documentation style.

  • Detail Orientation: Proven accuracy with data entry, pattern recognition, and exception troubleshooting.

  • Organization: Ability to manage a daily queue of exceptions across multiple regions and priorities.

Preferred/“Nice to Have”

  • Prior experience correcting AM/PM time entry errors and late shift validations.

  • Exposure to multi-site or regional workforce scheduling.

  • Basic understanding of meal break rules, shift differentials, or overtime policies (training provided).



Pay Details: $22.00 to $25.00 per hour
