Our client—an established Milwaukee real estate group—seeks a resourceful Administrative Assistant to keep the office humming and deals moving. If you love juggling calendars, smoothing out processes, and being the friendly first point of contact for agents, you’ll thrive here. What you’ll do
Orchestrate daily operations: Manage phones, inbox triage, mail, and reception while maintaining a polished, welcoming office experience.
Support listings & transactions: Prepare listing packets, update MLS entries, format marketing flyers, track contingencies, and maintain closing checklists.
Calendar & meeting logistics: Coordinate showings, inspections, appraisals, and client meetings; book conference rooms; arrange travel for executives as needed.
Document & records management: Create, edit, and e?file agreements, disclosures, addenda, and lease documents; ensure version control and compliance.
Data & systems: Update property databases (e.g., Yardi, AppFolio, or similar), maintain CRM notes, generate weekly activity reports, and monitor key dates.
Client care: Field inquiries from owners, tenants, vendors, and buyers; route requests; follow through until resolved.
Vendor & office coordination: Assist with vendor onboarding, COI tracking, work orders, and supply inventories; liaise with building management.
Special projects: Support marketing campaigns, open house events, newsletter edits, and quarterly portfolio review materials.
What you’ll bring
2+ years of administrative experience; real estate, property management, or brokerage exposure is a plus.
Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint); familiarity with MLS platforms, Yardi/AppFolio, and CRM tools preferred.
Strong writing skills, impeccable organization, and a calm, service?oriented approach.
High attention to detail—deadlines, dates, and documents matter here.
Comfortable handling confidential information and working across teams.
Hourly range: $21.00–$29.00 per hour
Pay Details: $21.00 to $29.00 per hour
