Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support a short-term project across multiple leaders and teams. This role will focus on calendar management, HR file organization, meeting coordination, and general administrative support. The ideal candidate is a self-starter with strong critical-thinking skills who can adapt to varying leadership styles and work effectively in a fast-paced environment.
Key Responsibilities
Manage dynamic calendaring and scheduling for multiple leaders using Microsoft Outlook
Support an HR filing and digitization project, including:
Scanning and organizing employee records
Applying consistent, organized naming conventions
Segregating confidential and sensitive files
Maintaining data privacy, security, and confidentiality
Coordinate logistics for in-person meetings, events, and virtual engagements, including:
Technology setup and support
Room setup and cleanup
Catering orders
Meeting agendas and presentation materials
Virtual meeting recordings and meeting minutes
Prepare, edit, and distribute:
Correspondence
Documents
Intranet content
Provide excellent customer service to phone and in-person guests, vendors, and team members
Assist with various administrative tasks as needed
Collaborate cross-functionally with other administrative team members across the organization
Required Qualifications
Proven professional experience in an administrative support role
Strong experience with Microsoft Outlook calendaring and scheduling
Excellent verbal and written communication skills
High attention to detail and strong organizational skills
Advanced proficiency with the Microsoft Office Suite, including:
Teams
Outlook
Word
Excel
PowerPoint
Preferred Qualifications
Experience supporting HR-related administrative work
Familiarity with HRIS systems (UKG preferred)
Strong critical-thinking skills with a proactive, self-starting mindset
Ability to ask clarifying questions, manage ambiguity, and adapt to different leadership styles
