Human Resources Coordinator

Position Overview
The Human Resources Coordinator supports day-to-day HR operations, payroll coordination, and recruiting/onboarding activities. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. The HR Coordinator partners closely with leadership, payroll, recruiting, and employees to ensure accurate records, compliance, and a positive employee experience.
Key Responsibilities
HR Operations & Compliance
Maintain company organizational charts and employee directory
Maintain and update employee personnel files
Process new hire, termination, and employee status change documentation
Ensure I-9 compliance and employment verification
Maintain compliance with federal, state, and local employment laws and regulations
Assist with HR reporting, audits, and annual HR processes
Support HR projects as needed
Perform other duties and tasks as assigned
Payroll & Timekeeping
Partner with managers and Payroll to review and process weekly timecard closings
Partner with Payroll Specialist to ensure timecard accuracy and payroll compliance
Train employees on timecard entry as needed
HRIS & Benefits
Maintain and update Human Resources Information Systems (HRIS)
Support HRIS processes and data accuracy
Assist with benefits enrollment and support the annual open enrollment process
Recruiting & Onboarding Support
Assist recruiting coordinator with hiring activities for open positions
Collaborate with managers to understand job requirements and competencies
Create and coordinate new hire orientation schedules
Initiate electronic new hire paperwork and onboarding workflows
Communicate firm policies and procedures during onboarding and administrative orientations
Set up employee accounts in HRIS and systems to ensure a successful first day
Required Competencies (Knowledge, Skills & Abilities)
Ability to work effectively both independently and within a team environment
Excellent written and verbal communication skills
High level of accuracy and attention to detail
Strong proofreading, editing, and grammar skills
Professional demeanor with strong interpersonal skills
Ability to interact effectively with employees at all levels of the organization
Strong organizational skills with the ability to prioritize and manage multiple tasks
Ability to work under pressure, meet deadlines, and maintain a sense of urgency
Adaptable, flexible, and comfortable in a fast-paced environment
Ability to manage frequent interruptions and shifting priorities
Willingness to work additional hours beyond a standard 37.5-hour workweek as needed
Required Qualifications
Bachelor’s degree in Human Resources, Business Administration, or a related field OR equivalent HR experience
Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook)
Experience working with HRIS platforms
Exceptional attention to detail with a high level of accuracy in all work produced
Ability to organize, prioritize, and complete assignments efficiently in a dynamic environment
