Administrative Assistant

Our established client in San Francisco is seeking a highly organized and detail-oriented Administrative Assistant to support a Dean and Department leadership team. This role blends high-level administrative support with student-facing coordination, ideal for someone who is polished, proactive, and thrives in a fast-paced academic environment.

The ideal candidate is sharp, meticulous, and personable, with the ability to confidently interact with students, faculty, and staff while managing competing priorities.

Location: San Francisco
Pay: $28 /hr


Key Responsibilities:

  • Provide comprehensive administrative support to the Dean and Department Director, functioning as a junior-level Executive Assistant

  • Manage complex calendaring, scheduling meetings, academic events, and departmental priorities

  • Coordinate and execute department events, workshops, and student engagement initiatives

  • Serve as a primary point of contact for students, faculty, and staff, ensuring a welcoming and professional experience

  • Prepare reports, presentations, correspondence, and academic materials with a high level of accuracy

  • Support departmental operations, including tracking projects, deadlines, and internal communications

  • Assist with travel arrangements, expense reporting, and general administrative tasks

  • Triage incoming communications and prioritize requests on behalf of leadership

  • Maintain organized records and ensure timely follow-up on key initiatives


Qualifications:

  • Bachelor’s degree in Business Administration, Higher Education, or related field preferred

  • 3–5+ years of administrative experience (higher education or professional services environment strongly preferred)

  • Experience supporting senior leadership or executives is a plus

  • Strong organizational skills with exceptional attention to detail and follow-through

  • Excellent written and verbal communication skills

  • Tech-savvy with proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and scheduling tools

  • Ability to multitask, prioritize, and adapt in a dynamic environment

  • Professional, approachable demeanor with a strong customer-service mindset
