Location: Tomball, TX 77377
Duration: Temp to Hire
Pay Rate: $29.00 – $30.00 per hour
Schedule: Monday–Friday, 8:00 a.m. – 5:00 p.m.

Position Summary

The Office Administrator / Office Manager provides critical administrative and operational support to the divisional office, reporting to the Division Manager. This role is responsible for overseeing day‑to‑day office operations while supporting the Estimating Department, divisional leadership, and project teams.

This position requires someone who can hit the ground running, take ownership of office administration, timesheet support, and data entry, and maintain flexibility to meet business needs, including closing the office when required. The ideal candidate is highly organized, highly motivated, and detail‑oriented, with experience supporting fast‑paced, project‑driven environments.

Key Responsibilities

Office & Administrative Operations

  • Serve as the primary point of contact for office operations, ensuring smooth and efficient daily workflows.

  • Responsible for opening and closing the office, as needed.

  • Maintain flexibility with schedule and responsibilities based on business needs and operational demands.

  • Manage and oversee general office administration, including record‑keeping, filing, data management, and documentation control.

  • Maintain office supplies, equipment, and vendor coordination.

  • Handle incoming and outgoing mail, emails, and phone communications.

  • Maintain organized physical and digital filing systems.

Estimating & Project Support

  • Support the Estimating Department, including logging, tracking, and organizing incoming bid opportunities.

  • Assist with opportunity and project data entry and maintenance in project management systems (Patriot Link).

  • Prepare and maintain estimating and project documentation in compliance with company and industry standards.

  • Generate routine and ad‑hoc administrative, estimating, and project reports.

Timekeeping & Data Entry

  • Provide timesheet support, including collecting, reviewing, updating, and tracking employee time entries for accuracy and deadlines.

  • Perform high‑volume data entry with exceptional accuracy across multiple systems.

  • Assist leadership with reporting and administrative tracking.

Executive & Team Support

  • Provide administrative support to the Division Manager, estimating team, project managers, general superintendents, and other construction professionals.

  • Schedule and coordinate meetings, appointments, and conference calls; prepare agendas and take meeting minutes when required.

  • Serve as a point of contact for internal and external stakeholders, including clients, subcontractors, vendors, and team members.

Qualifications

Education & Experience

  • Associate or Bachelor’s degree in Business Administration, Accounting, or a related field preferred.

  • Minimum of three (3) years of experience in office administration or office management.

  • Experience supporting estimating, operations, or project‑based teams preferred.

Preferred Industry Experience Experience in one or more of the following industries is strongly preferred:

  • Construction

  • Landscaping

  • Manufacturing

  • Industrial

  • Environmental

Technical Skills

  • Advanced proficiency in Microsoft Excel, including formulas, reporting, and data analysis.

  • Advanced PowerPoint skills, with the ability to create professional, executive‑level presentations.

  • Strong working knowledge of Microsoft Word and Outlook.

  • Bluebeam exposure is a plus, particularly in construction or estimating environments.

  • Ability to quickly learn and navigate internal systems and project management tools.

Pay Details: $29.00 to $30.00 per hour
